Future XWiki pricing: what and why

At XWiki, we are always committed to Open Source and the values on which the community and our internal team built this software. We continue on being a privacy-friendly company, transparent and with a no-data lock-in policy, contributing to the European digital sovereignty ecosystem.

Because we want to continue offering a top knowledge management and collaboration tool, improve the product and continue providing extensive support and customization for our present and future clients, our financial offer will change starting with the 1st of March 2023 for new clients and on the 1st of July for existing customers,  meaning that you can take advantage of the current lower pricing offers by securing a one-year or three-year deal.

Why now?

As you already know, Open Source Software means open code, available to everyone to edit and improve, but this doesn't mean that it is free or without any financial costs. Through our paying clients, we continue funding the Open Source product developments, monthly releases, and carry on R&D endeavors. An example of an R&D project that we started developing in 2014 and launched in 2016 is CryptPad, a privacy-by-design, end-to-end-encrypted collaboration platform, also 100% Open Source. We have multiple projects undergoing development, which we will get into more detail after the official launch, all part of our mission to advance the Open Source Software industry.

What's more, since our last price change in 2018, our team has taken XWiki's product functionalities next level in the last development cycles, improving the existing ones, while also enhancing the features developed by the XWiki community, implementing security enhancements, and bug fixes that translate into a better, more secure and trustworthy software. In 5 years we had:

  • Improved proactively the infrastructure and security of XWiki through a long stabilization process of countless automated and manual testing of the existing XWiki versions on various dev environments;
  • Not only released new features and versions of XWiki but also dedicated resources to maintaining the existing ones, making sure they continue on being stable and value-adding to both users and customers;
  • Expanded the number of services available today so that they are more tailored to the needs of our clients;
  • Welcomed a big influx of Confluence users and placed resources for creating a dedicated migrator, compatible macros, and a Pro macros bundle.

A top solution is our commitment to all XWiki users with both product enhancements and quality and extensive support meant to keep customer satisfaction high. All these improvements mean one thing: XWiki is quicker, more reliable, and more powerful for you.

The last but not least reason: the people working to advance the product at XWiki (some even in the last 15 years and counting) gained extensive experience, became agile experts in their field, and are an incredible asset to the team today. Furthermore, we are no strangers to global economic shifts and the crises impacting the world and, subsequently, our employees as well. We have maintained the same prices since 2018 despite all economical shifts and annual inflation. Our teams from France, Romania, and around the world have also felt the impact of the rising cost of living. We've also extended our team with additional excellent teammates to accelerate the process of making XWiki a better product and tackle innovative initiatives. Therefore, we aim to have a healthy business model with healthy overall growth while offering financial security to our employees as well.

How do I know on which plan I am?

You can fall into one of the following three situations:

  • If you bought XWiki Cloud or Apps through our XWiki Network platform, then you can see your purchased plan by going to your wiki instance, on the Orders tab. There, you can check your current active plan.

  • If you bought XWiki Cloud with automatic renewal of the plan, then on the XWiki Network platform you can see your purchased option by going to the Subscription tab.

  • If you bought XWiki services of any kind through an XWiki Account Manager, you will need to refer to the signed contract. In case of doubts about what plan are you on, you can contact the Account Manager that will offer you clarity in this context.

When does the new pricing take effect?

The new pricing applies on the 1st of March 2023 for new clients and the 1st of July for existing clients.

How will upcoming pricing updates affect me?

For existing support clients

Your cloud or on-premise support package will not be modified until the subscription expires. However:

  • If you have a 1-year cloud contract that expires on the 30th of June and want to continue benefiting from the current pricing offer, then you can place your order online on our XWiki Network portal (see how at the question "Can I renew my contract for longer than a year?"). We've made the process of extending the cloud support contracts much easier, faster, and almost instantaneous so that you can take care of this administrative aspect at your earliest convenience;
  • If you have a 1-year cloud contract that expires on the 30th of June and you've been in contact with an XWiki Account Manager up until now, please contact them before the renewal date to further discuss your needs;
  • If you have a 1-year XWiki Pro Apps contract for your on-premise instance that expires on the 30th of June and want to continue benefiting from the current pricing offer, then you can go to your XWiki instance in XWiki Administration > Extensions > Licenses. Click on the "Buy" button corresponding to the app you're planning to buy. You will be directed to the store, where you can easily create the "Purchase order" and make the payment through the shop;
  • If you have a 3-year contract on the cloud or on-premise already in progress, you can either contact your XWiki dedicated Account Manager for an extension (the remaining of the contract and the extension should sum up to a maximum of 3 years of new engagement) before the 1st of July, or you can contact us to assign you an Account Manager and benefit from a 23% discount when choosing a 3-year support contract.

For new clients

As a new client, you can still benefit from the current prices until the 1st of March:

  • If you want to make a 1-year cloud contract for Bronze, Silver, Gold, or Platinum, after you've created your cloud demo instance and validated your email, you can click the “Buy” button located at the top of the wiki and you'll be redirected to our online shop.   • If you want to enhance your wiki instance with our business-oriented XWiki Pro Apps that can be purchased for up to 1 year, after you've created your cloud demo instance or downloaded and installed XWiki on-premise, go to your XWiki instance in XWiki Administration > Extensions > Licenses. Click on the "Buy" button corresponding to the app you're planning to buy. You will be directed to the store. From there you can create the "Purchase order" and make the payment through the shop; 
  • If you want to discuss a potential Platinum purchase of over 1000 users, check the current pricing offer and contact us to further discuss your use case;
  • If you want a 3-year contract for Silver, Gold, or Platinum, check the current pricing offer and contact us to further discuss your use case.

If you'd like to purchase:

  • Setup services;
  • Customization of your wiki instance;
  • Consulting hours.

Then please contact us as soon as possible to still benefit from the current pricing and we'd be happy to discuss your particular use case. 

For basic users

The XWiki software will always be Open Source and you can download and install it any time you want. This option would suit you if you wish to set up and run an XWiki instance by yourself and have the technical knowledge to do so.

What should I do next as a client?

To make the best decision for your organization as well, we advise you to check this comparison page of our current and future prices.

  • For cloud contracts of 1 year, you can extend the subscription through our XWiki Network Portal in which you can pay by card or PayPal. If up until now you've been in contact with an XWiki Account Manager, you can contact them as well;
  • For cloud contracts of 3 years, the payment is usually done through a bank transfer. Therefore, please get in touch with us and an XWiki Account Manager will get in touch with you to discuss your needs;
  • For on-premise contracts of 1 year, you can go to your XWiki instance in XWiki Administration > Extensions > Licenses. Click on the "Buy" button corresponding to the app you're planning to buy;
  • For on-premise contracts of 3 years, please contact us and an Account Manager will pick up the discussions with you;
  • For any custom projects, please contact our XWiki team for a tailored offer.

Can I renew my contract for longer than a year?

You can renew your contract for longer than a year. If the expiration date of the contract is before the 1st of July, then the renewal will be made with the current prices. If the expiration date of the contract is after the 1st of July, then the renewal will be made with the new prices.

However, both on-premise and on-cloud contracts can be purchased for a maximum of 3 years. If you already have a 3-year contract that has been running for 1 year already, contact your XWiki Account Manager before the 1st of July for an extension of the contract to benefit from the current pricing offer.

Will the special discounts change?

The special discounts will stay the same:

  • 50% discount on support for Open Source Software projects;
  • 50% discount on support, hosting, and apps for NGOs;
  • 23% discount for 3 year contracts;
  • 10% discount on 2 years contracts.
